NHPMentor answers what Health Canada's monographs require and checks applications against them. This page explains what we keep, who else sees it, and how to get rid of it.
What we collect
- Your account — email address and name.
- Your date of birth, which we do not keep — you enter it once when you create an account so we can confirm you are old enough to hold one. We check it, record that the check happened and the minimum age that applied, and discard the date itself. An age requirement is a floor and never expires, so there is nothing we would use it for afterwards.
- Your conversations — the questions you ask and the answers you get, so you can come back to them.
- Application checks — the report a check produces, so you can come back to it. The application file you upload is not stored: it is read in memory, checked, and dropped.
- Basic technical data — IP address and browser details, recorded to keep the service working and to stop abuse.
We do not ask for health records, and you should not put personal medical details into a question. Anything you type is stored with your account.
An exported Product Licence Application carries a formulation that is usually unreleased, and the contact details of the person who filed it. That is why the file itself is never written to disk. The report keeps what you were shown — the findings, what was checked, and the product name — and nothing else from the form.
Who else sees it
We use service providers to run NHPMentor, and some of what you give us reaches them: the provider that generates answers and reviews applications receives your question, or the parts of your application being checked, with the monograph text used; the provider that sends our email receives your email address; and the provider that serves and protects the site receives your IP address. We also keep diagnostic records of questions and answers to find faults and check quality.
These providers operate in the United States, so your question and the parts of your application being checked are processed outside Canada. Each is bound to use what it receives only to provide its service to us.
We do not sell your information or give it to advertisers.
What you can do
You can see, correct, export or delete your data — including your whole account — by emailing support@nhpmentor.com. We will action it within 30 days. Deleting your account removes your conversations with it.
We keep your data while your account is open, and delete it when the account is closed unless the law requires us to keep it longer.
The rest
Traffic is encrypted and passwords are hashed, but no service can promise more than that — treat anything you type as information you have shared with us.
You must be 18 or older to hold an account. NHPMentor is a tool for people preparing Product Licence Applications, and creating an account accepts our Terms of Service — an agreement we do not ask anyone under the age of majority to enter. We confirm this from the date of birth you give when you register, and we do not keep that date. If this policy changes we will update this page and the date at the top.
